Approval of Cost Increase to Contract No. C-100466 Elevator Maintenance and Services
Key Points
  • An amendment to the current Contract with George Elevator Service, LLC for Elevator Maintenance and Services is required to authorize cost increases to facilitate the needed elevator upgrades and continue maintenance on City owned elevators and lifts.

Present Situation

On November 23, 2020, City Council approved a five- (5) year contract with George Elevator Service, LLC for elevator preventative maintenance, on-call services and new installation/additions or required upgrades to the elevator systems with a “not to exceed” cost of $450,000.00. Facilities received an approved capital budget for upgrade improvements for City Hall (3 elevators) and the Marshall Center (1 elevator), for budget years 2021 and 2022. Currently, City Hall Elevator #1 upgrade is complete, and Elevator #2 parts are ordered. The Contract amount of $450,000 is expected to be exceeded due to the required upgrades for City Hall Elevators #2 & #3 and Marshall Center Elevator upgrades along with the normal monthly maintenance and on-call services.


Advantage(s)

To perform preventative maintenance and inspections, along with new installation/additions or required upgrades needed to the elevator systems on the City’s current and future buildings to meet the Washington State Elevator codes and the City of Vancouver Fire Marshall codes and requirements for fire life safety.

Budget Impact
  • Funds for the monthly service and inspections have been budgeted.
  • Currently, the existing budget appropriation is not sufficient to fully cover the cost associated with this contract. Based on the priority of this work, other, lower priority projects might be delayed ensuring consistency with current budget allocations. Additional budget appropriation will be requested in the following budget supplemental appropriations. The increase in the contract cap would allow the City to utilize it within the current budget authority and upcoming capital needs.

Action Requested

Approve a Contract Amount increase of $570,308.52 for Contract No. C-100466 Elevator Maintenance and Services and authorize the City Manager, or his designee, to increase the total Contract Amount to $1,020,308.52.
